This is included in the price if deemed reasonable. Any extreme conditions will result in an additional cost to the user.

The Club expect all bottles and rubbish to be picked up in the lounge/s, outside areas and car parks. Horses are the number one priority on the racecourse and must not be put in any danger.

Functions hire from 5pm and must close at 12 am and all guests off the premises by 12.30 am. For Saturday weddings, the lounge is available from 12 pm Friday through to 12 pm Sunday.

The Matamata Function Centre holds an On Licence for the premises at the Matamata Racing Club, it is a condition of the licence that BYO is not permitted. The Function Centre will provide a Bar Manager, additional bar staff will be charged at an hourly rate. A price list of alcohol and non-alcohol drinks available can be provided on application.

All bookings are to be approved in advance by the Events Co-ordinator and Management team.  Bookings must be paid for in full once approved at least 7 days prior to the function; an invoice will be issued once accepted and confirmed.  A bond, payable either by cash or cheque to be held at the office, to cover unpaid funds or damage to property, will secure the booking.  The bond will be refunded in full unless there is property damaged.  Any damage will be a cost to the organisation/person hiring the lounge/s.  

The organisation/person booking the function is responsible for charges and other obligations with the conditions of hire.  It is the Hirer’s responsibility that all guests remain in the designated lounge areas only

Please be aware, preferably only decorations that can be arranged independently should be used. The use of nails, staples and adhesive tapes that cause damage are strictly prohibited.

The hirer will be liable for any damage to property, fixtures or fittings, movable or otherwise. The venue will be inspected the first working day following the function. Breakages or damage to the facilities will be charged to the hirer over and above the bond held.

The Clubs authorised personal shall have access to the buildings and grounds at all times.
